Price
Any prices listed in this guide are subject to change, the most up to date prices are always on our website.We reserve the right to amend prices quoted in the brochure due to errors and/or omissions or changes in the VAT rate.

Once you’ve booked
We will send you a confirmation email or letter with your booking summary. Please check the details carefully and contact us within 48 hours if anything is incorrect. That email will
include a link to our online in-advance check-in. There, you can change any guest names or optional extras and find any information regarding the local area and your stay.

The number of people allowed in each property is clearly stated and must not be exceeded. We reserve the right to ask you to leave if you have clearly falsified information regarding the number of guests staying in the property. This is a matter of health and safety and fire standards.

Children up to the age of 3 are permitted to sleep in a cot. From 4 years and up, they arerequired to sleep in a bed.

Check-in
We operate as an Appart’Hotel. All guests must check in before being handed the key code card and shown the exact location of their accommodation. At Check-in, you will be asked to confirm details of yourself and your party, name, age, gender, full address, including postcode, and full contact details, including mobile phone and e-mail, also for all other guests. Check-in can be in person between 5:00 p.m. and 7:00 p.m. on arrival or online in advance. Please call the office, Monday through Friday, 8:30 a.m. to 5:00 p.m., if you need help with online check-in. We do this for your safety. It is a legal requirement that we know who is using the accommodation. Hotel Records Order 1972 – UK Statutory Instruments 1972 No. 1689. It is also an insurance and health and safety requirement, say in the event of fire, and a requirement of our safeguarding policy.
 
Terms and Conditions of Hire

For the purposes of this document “we” and “us” refer to Davids Organic Farm Holidays Wales, Gwarmacwydd and “you” and  “party” mean the person named on the booking form (either electronic or paper).
1. Booking your stay
1.1 You must be over 18 to make a booking.  Please ensure that you read and understand these terms before you sign. Whether you book alone or as a group we will only deal with the lead booking name in all subsequent correspondence, including changes, amendments and cancellations.
You agree to provide the name, age, gender, address, and full contact details of each member of your party on request at any time prior to finalising your booking. Unless otherwise agreed upon, the person making the booking must also be a member of the party. Failure to provide comprehensive details of all party members prior to arrival may result in delayed entry or refusal of entry

1.2 We have the right to revise and amend these Terms at any time. You will be subject to the policies and terms in force at the time that you make a booking with us, unless any change to those policies or these Terms is required by law or government or regulatory authority in which case it will apply to orders you have previously placed that we have not yet fulfilled.
1.3 Any drawings, pictures, descriptions or advertising we issue or contained in our advertising, brochures, websites or social media are published solely to provide you with an approximate idea of the holiday we offer. They do not form part of the contract between you and us.
1.4 Any oral representation by employees or representatives does not form any part of this agreement.
2. Payments
2.1 A non –refundable deposit of £250 per week per cottage is required for all bookings (or the full amount if this is less for short breaks) at the time of booking to secure your reservation.  Any postal booking must be sent to our office together with the deposit and completed booking form.
2.2 Once we have accepted the booking, the applicant is liable for the balance of the rent at least 90 days before your holiday commences. If your card details have been saved to our system, we will automatically take the balance 90 days before arrival. If you wish for the balance to be taken from a different card you must contact us before the due date to make these changes. If your card has not been saved, we will send you a reminder email and a link to complete payment.
2.3 Late bookings made 60 days or less prior to arrival date will require full payment at the time of booking.
3. Security Deposit
3.1 A security deposit for any damages will be held for £150.00 14 days before the start of your holiday. All multiple bookings will be held with a security deposit for each property.
3.2 This security deposit hold will cover any breakages, loss, damage or extra cleaning incurred by the party to our accommodation, property or site.
3.3 A list of breakages costs within the property is printed in the welcome booklet, as well as an inventory of what is supplied.On arrival, please check that there is correct amount of items as stated in the inventory. Please inform us immediately if anything is missing.
3.4 All accommodation and communal areas must be left as you found them, in a clean and tidy order.
3.5 We advise that you take out adequate travel insurance at the time of booking any stay with us.
3.6 On the day of departure, we will inspect the cottage for any breakages or damage.
3.7A credit card is needed to make a booking in order to place the security deposit hold.
3.8 Please allow up to 14 days for the hold to be removed from your card if the property is to be found in good order.
4. Non Smoking
4.1 All of our accommodation is non smoking. All bookings are accepted on the strict understanding of no smoking in any property or building on the premises. Please use ash trays provided and respect the environment in not dropping cigarette butts on the ground.
4.2 If you or any of your party is found to be breaking any of these conditions, we reserve the right to ask you to leave immediately and you will not be entitled to a refund. 
5. Cancellations
5.1 All cancellations must be notified immediately by telephone and then confirmed in writing. If you have informed us more than 8 weeks before your arrival, you will be refunded the total of your stay and experience, minus the non refundable deposit of £200 (or the full amount if this is less for short breaks).
5.2 If you cancel less than 8 weeks before arrival, the hirer remains responsible for the full rent, should we however, be able to re-let the accommodation, both your deposit and the balance (if paid) will be refunded, less an administration charge of 15% of the full rent. Please note that it will not be possible to refund your rent unless the accommodation is re-let. It is to your advantage to notify us as soon as possible of any cancellation.
5.3 We strongly advise that you obtain holiday insurance when booking to cover any cancellation charges. At the point of booking and paying the deposit, you are deemed to have accepted our terms and conditions.
5.4 If for any reason, you have to leave your holiday early, we are not liable to provide any refund.
5.5 We reserve the right to refuse any booking.
5.6 If for any reason, we require to cancel your holiday, we will at our discretion offer you alternative accommodation to a property of the same or similar standard and price, or offer you a full refund.
5.7 If we are required to amend the date of your booking, then you may accept the amendments made by us, accept a replacement booking, or cancel your holiday and receive a refund for the full hire.
5.8 We will endeavour to provide you with as much notice as possible if we need to cancel your booking, but please be aware that if the cancellation is as a result of an event which is outside of our control, then the cancellation may be given in short notice.
5.9 Please note that no additional compensation will be paid in the event that we have to cancel or amend your holiday booking.
6.Incomplete payment
6.1 Where the balance of your holiday has not been paid by 8 weeks prior to your holiday commencing, we will send you a payment reminder email. If within 10 days of the reminder being sent, the balance is still outstanding, we will be entitled to revoke the agreement, retain the deposit and claim against you any losses incurred.
7. Arrival and Departure
7.1 The property must be vacated by 10.00 am on the morning of departure. Check in is from 5.00 pm on the first day.
7.2 Early arrivals and late departures may be possible in the low season by prior arrangement with us.
7.3 If you occupy the cottage later than 12.30pm, we reserve the right to charge a surcharge of a maximum for a full nights stay.
8. Health and Safety
8.1 We cannot be held responsible for any accidents or damage which may be sustained by you or any member of your party, or visitor or their property however caused.
8.2 Children must be supervised at all times by an adult.We reserve the right to ask you to supervise your children if we feel they are being left to their own devises. We also reserve the right to ask you to leave if these requirements are not met.
8.3 Please ensure that children wash their hands when returning from visiting the farm.
8.4 We ask that you do not enter the farm yard without being accommodated by Angela, David, Amy or a member of staff. We ask that you respect any “No Entry” signs. Failure to comply with these terms may result in being asked to leave.
8.5 On arrival, we will inform you of which fields the cows are in and where is best to go for a walk. We ask that if you see that there are cows or any other farm animals in a field, do not enter.
8.6 Despite how tempting it is to enter a field with cows and calves – remember those calves are their babies and their natural instinct is to protect them against any danger, and to them – you are the danger.
8.7 Cows do not like dogs, so please don’t ever attempt to walk your dog in a field where cows are grazing. We reserve the right to ask you to leave if these requirements are not met.
8.8 We encourage all children to help with feeding the pet animals. If we feel that a child is repeatedly not listening to the guidance of a member of staff, we very politely reserve the right to refuse for them to take part, in the interest of everyone’s safety.
Fire Health and Safety
8.9 The lighting of fires is not permitted under any circumstances.
8.10 The lighting of the wood burner fire in the Coach House is only permitted once the designated operator has read the fire safety instruction sheet in the welcome booklet. Please ensure that the fire safety guard is put in place immediately once the fire is lit.
8.11 The Coach House wood burner is not to be left unattended at any time.
8.12 No rubbish is to be burnt in the Coach House wood burner. Only kindling and logs.
8.13 The Coach House wood burner does not come supplied with logs. These can be purchased at an extra cost.
9. Electricity and Water
9.1 We cannot accept responsibility for a shortage of electricity or water, where it is as a result of weather, resource services companies or for any other reason outside of our control.
9.2 No rebates will be paid for either mechanical or electrical failure of any kind. Every effort shall be made to repair any problem.
10.Group bookings, Parties and Disturbing the Peace
10.1 We welcome friends and family gatherings, but parties are not permitted in any property at any time.
10.2 If you are found to be disrupting our other guests or to demonstrating inappropriate or anti-social behaviour, we reserve the right to ask you to leave.
10.3 If you wish to celebrate an occasion on our location, please contact us prior to your stay as we may be able to arrange something. Reasonable charges may apply.
10.4 The exact number of people allowed in each property is clearly stated and must not be exceeded.We reserve the right to ask you to leave if you have clearly falsified information regarding the number of guests staying in the property. This is a matter of health and safety and fire standards.
10.5 Children up to the age of 3 years old are permitted to sleep in a cot. From 4 years and up they are required to sleep in a bed.
10.6 Noise – Please respect your fellow guest’s privacy and enjoyment. We kindly ask that no amplified music be played at any time. We request that noise levels are kept to a minimum after 10pm.
11. Dogs and Pets
We welcome well-behaved dogs to come and stay! Generally, most pet owners are caring and responsible and do not allow their dogs to misbehave. Unfortunately, a small minority requires us to specify the rules for pets and their owners.

11.1 We kindly ask that all dogs are not to be left on their own in the cottage at any time, and are not allowed on any furniture.

11.2 We also ask that dogs must wear a collar with an identity tag and be kept under the proper control of a responsible adult whilst in the garden to respect other guests, and are not allowed in the children’s play area. We will let you know on arrival which fields you can walk in, as cows do not like dogs, and if you enter a field with cows in, you are putting yourself in danger!
11.3 Ideally dogs should have a crate to sleep in.  We reserve the right to enforce this and offer for you to hire a crate from us or purchase a suitable alternative.
11.4 Owners are expected to clean muddy dogs before being allowed inside. Owners are also expected to bring their own towels and bedding for their dog.
11.5 Owners are responsible for the “bagging and binning” of their pets litter. Pet waste bins are provided.
11.6 All damages caused by your pet are chargeable.
 
11.7 We do charge an extra cleaning fee of £5 each per night with a maximum of 2 per cottage.If there is found to be more dogs than stated, we reserve the right to ask you to find alternative suitable accommodation for any extra dogs.

11.8 Some breeds of dog, including those listed in the Dangerous Dog Act 1991, are not allowed; if in doubt please check when booking.
 
11.9 If we think your pet is causing a disturbance or damage to either livestock or the property, we reserve the right to ask you to remove them from the premises immediately.
11.10 It is illegal under the Equality Act 2010 for any business to refuse access (in this case a booking) to a person with an assistance or guide dog. We welcome assistance dogs in ourproperties free of charge. Wereserve the right to view an assistance dog’s ID. 

​11.11 Other pets may be permitted at our discretion, please check when booking.
12.Tractor Driving Experience
12.1 We cannot be made liable for any injuries to the participant, any member of their party or any item in their possession whilst on the property or in taking part in any experience we provide.
12.2 Our Tractor Driving Experience is only bookable through our website, email or over the phone. The participant must be over 18 to partake in the experience and hold a valid driving licence.
12.3 The tractor driving experience can be booked as a gift, but the partaker must hold a valid driving licence. We reserve the right to ask for a copy of the driving licence as proof. We will allow time for you to tell them and to obtain a copy.
12.4 Please understand that this is an experience and not an official certificate.
12.5 Please be aware that the one hour session is inclusive of a 10 – 15 minute explanation of the instruments and workings on the tractor. 45 – 50 minutes will be behind the wheel driving.
12.6 If for any reason, we need to reschedule the tractor driving experience, we will endeavour to arrange an alternative time or day to complete the experience.
12.7 If an alternative time or day cannot be arranged, we will refund the experience and your stay with us in full.
12.8 If for some reason you wish the cancel your stay and experience with us, as long as you have informed us more than 8 weeks before your arrival, you will be refunded the total of your stay and experience, minus a 20% administration charge.
12.9 If you cancel less than 8 weeks before arrival, the hirer remains responsible for the full rent of the accommodation, but will be refunded the cost of the tractor driving experience.  Should we however, be able to re-let the property, both your deposit and the balance (if paid) will be refunded, less an administration charge of 20% of the full rent. Please note that it will not be possible to refund your rent unless the property is re-let. It is to your advantage to notify us as soon as possible of any cancellation.
12.10 We cannot accept responsibility for any postponements or cancellations of the experience for reasons outside of our control.
12.11 The participant or any member of their party must not enter the farm yard unattended.
12.12The participant or any member of their party must not touch any machinery without permission as some tools can be sharp.
12.13 The participant must not tamper with any leavers, buttons or equipment within or outside the tractor or the machinery unless instructed by the provider.
12.14 We reserve the right to terminate the tractor driving experience if we believe the participant will not adhere to the health and safety rules of the experience.
12.15 The participant must keep their hands and legs within the cab at all times.
12.16 If the customer arrives any later than 15 minutes over the start time, this time will be deducted from the overall running time.
13. Extras(As previously stated)
13.1 Towels are extra at £5 per set including: Bath, hand and face towels.
13.2 Towels are not to leave the property or to be used at the beach. Please inform us before arrival if you require towels.
13.3 Towels will not be given out without payment of hire.
13.4 The Coach House wood burner does not come supplied with logs. These can be purchased as an extra.
14. Fishing
14.1 Fishing on the River Tâf is free to do so at your own risk.
14.2 By law, you must obtain a government trout licence which can be bought online.
14.3 You must fish only within the permitted seasons.
15. Complaints
15.1 In the unlikely event that you are unhappy with any element of your stay with us, please notify us immediately at gwarmacwydd@gmail.com or call 01437 563839. We can usually resolve any complaints you might have, but you must allow us the opportunity to do so.
16. Governing law
16.1 We cannot accept any liability for theft, loss or damage of whatever natures as a result of your stay with us.
16.2 The construction, validity and performance of this agreement shall be governed by the law of England and Wales, both parties agree to the non-exclusive jurisdiction of the UK Courts.
16.3 A person who is not party to these terms shall not have any rights under or in connection with them under the Contracts (Rights of Third Parties) Act 1999.
17. Tractor Rides        
17.1 We offer Tractor Rides to children over 13 years old and over the height of 135cm, and adults without a driving licence to experience a tractor ride by being the passenger. This does not give you the right to drive the tractor.
17.2 The passenger must not tamper with any leavers, buttons or equipment within or outside the tractor or the machinery that it is attached to.
17.3 We reserve the right to terminate the tractor ride if we believe the participant will not adhere to the health and safety rules of the experience.
17.4 The passenger must keep their hands and legs within the cab at all times.
17.5 Please be aware that a one hour session is inclusive of a 10 – 15 minute explanation of the instruments and workings on the tractor. 45 – 50 minutes will be in the cab.
17.6 If for any reason, we the provider need to reschedule the tractor ride we will endeavour to arrange an alternative time or day to complete the experience.
17.7 If an alternative time or day cannot be arranged by the provider, we will refund the experience in full.
17.8 If for some reason you the customer wish the cancel the experience, as long as you inform us more than 2 weeks before your booking, you will be refunded the total of your experience, minus a 20% administration charge.
17.9 If you the customer cancel less than 2 weeks before your booking, for any reason, you remain responsible for the full cost of the experience. If the customer manages to find someone to take their place, this will be acceptable.
17.10 We cannot accept responsibility for any postponements or cancellations of the experience for reasons outside of our control.
17.11 The participant or any member of their party must not enter the farm yard unattended unless accompanied by the appropriate member of staff.
17.13 We are only able to offer children over the age of 13 years old and over the height of 135cm to participate in the tractor ride sitting in the passengers seat. 
17.14 If the customer arrives any later than 15 minutes over the start time, this time will be deducted from the overall running time.

Terms and Conditions when booking a Tractor Driving Experience or a Tractor Ride for yourself or on behalf of someone else,
WITHOUT BOOKING A STAY WITH US.

Tractor Driving Experience
1.1 We cannot be made liable for any injuries to the participant, any member of their party or any item in their possession whilst on the property or in taking part in any experience we provide.

1.3 The tractor driving experience can be booked as a gift, but the partaker must hold a valid driving licence. We reserve the right to ask for a copy of the driving licence as proof. We will allow time for you to tell them and to obtain a copy.

1.5 Please be aware that the one hour session is inclusive of a 10 – 15 minute explanation of the instruments and workings on the tractor. 45 – 50 minutes will be behind the wheel driving.
1.6 If for any reason, we the provider need to reschedule the tractor driving experience, we will endeavour to arrange an alternative time or day to complete the experience.
1.7 If an alternative time or day cannot be arranged by the provider, we will refund the experience in full.
